Lunar Lighting Pty Ltd (referred to in this policy as “Lunar Lighting”, “we”, “us” or “our”) respects your privacy. This policy explains how we collect, hold, use and disclose personal information when you visit lunarlighting.com, submit an enquiry or quote request, contact us by email or telephone, or otherwise interact with us through this website.

1. About this policy

This policy is intended to describe our current website and enquiry-handling practices in clear language. It should be read together with any collection notice shown at the point where information is collected. We will review and update it when our information-handling practices change.

2. Information we collect

Depending on how you interact with us, we may collect and hold:

  • your name, including first name and last name, if you choose to provide it;
  • your email address, and your telephone number if you choose to provide it;
  • your company or organisation name;
  • the content of your enquiry, message, quote request or other correspondence;
  • the Lunar Lighting service or application you select in a form;
  • records of communications, enquiries, quotations, sales, hire, service or other business dealings;
  • technical and usage information such as IP address, browser and device information, pages visited, referring page, date and time, and security or anti-spam information; and
  • cookie, analytics and advertising-measurement information associated with your use of the website.

On the main Contact and Lighting Solutions form currently used on the LIVE site, your first name, last name and phone number are optional. The company name, email address and message are marked as required for that form. The separate “Free Online Quote” popup currently asks for a name and email address so that we can identify and reply to the quote request. You can use the public 1300 number or email address instead of submitting a personal phone number.

Our public website does not currently offer public user registration or a customer account area. Please do not include health information, identity documents, passwords, payment-card details or other sensitive information in a website enquiry unless it is genuinely necessary. If you send sensitive information to us, we will handle it only where reasonably necessary and permitted by law.

You can browse the website without identifying yourself. If you ask us to respond to an enquiry, quotation or service request, we will generally need enough contact information to do so.

3. How we collect information

We may collect information directly from you when you:

  • complete a Contact or Lighting Solutions form;
  • request information, a quotation, hire, sales or service assistance;
  • email or telephone us;
  • use a form or feature made available through a popup or another page; or
  • communicate with us after an enquiry or transaction.

We also collect some information automatically when the website is visited. This can include server, browser, device, cookie, analytics, form-security and anti-spam information. Form submissions may include the page URL, IP address and submission time in the website record or notification sent to us.

4. Why we collect, hold, use and disclose information

We use and disclose personal information for purposes connected with our business and the reason it was provided, including to:

  • respond to enquiries and requests;
  • prepare and follow up quotations;
  • discuss, supply, hire, install, service or support Lunar Lighting products and solutions;
  • communicate about an existing or prospective business relationship;
  • operate, maintain, secure and improve the website and forms;
  • detect and prevent spam, fraud, misuse and security incidents;
  • measure website use and the performance of marketing and advertising;
  • maintain business, accounting, insurance and dispute records; and

5. Website forms, email and enquiry records

Website enquiries are processed through the form and website systems used on the LIVE site. A submission may be stored in the website database, sent to authorised Lunar Lighting email recipients, and recorded with technical and anti-spam information. On the main contact form, the optional name and phone fields are processed only if you enter them. The separate quote popup currently requires a name and email address. We use the information provided to respond, manage the enquiry and maintain appropriate business records.

If you do not provide information requested by a form, we may be unable to respond fully or provide the quotation or service you request. You may contact us by telephone or email instead.

6. Cookies, analytics and advertising measurement

The website may use cookies and similar technologies for essential website functions, language or display preferences, popup and form functions, security and anti-spam protection, analytics and advertising measurement. You can control or delete cookies through your browser settings, although some website functions may not work correctly if cookies are disabled.

Where applicable law requires consent before a non-essential cookie or similar technology is used, we will seek that consent in the manner required by law.

The LIVE site currently loads Google Analytics 4 and Google Tag Manager. Our marketing setup may also use Google Ads conversion measurement. These services may process information such as pages viewed, device or browser information, event information, approximate location derived by the provider, cookie or advertising identifiers and whether an enquiry event occurred. Google handles information under its own privacy terms, available at Google’s Privacy Policy.

We do not ask you to provide sensitive information through the website forms. Do not include the text of an enquiry in a cookie or advertising field. We review tracking configurations when they change so that form contents are not used for advertising measurement unless separately explained and permitted.

7. Who may receive personal information

We may disclose personal information, where reasonably necessary for the purposes described in this policy, to:

  • authorised Lunar Lighting personnel and contractors;
  • website hosting, maintenance, form, email-delivery, security, anti-spam, backup, translation, analytics and advertising service providers;
  • professional advisers, insurers, accountants, auditors and legal advisers;
  • suppliers or service providers involved in responding to your request, where appropriate; and
  • government agencies, regulators, courts or other persons where required or authorised by law.

We take reasonable steps to select and manage service providers that handle personal information for us so that the information is used only for authorised purposes and reasonably protected.

8. Overseas processing and disclosure

Some of our technology and service providers may store or process personal information outside Australia. Depending on the service and its configuration, this may include the United States and other countries in which those providers or their subcontractors operate. The location may change when a provider changes its infrastructure or service.

Where the Australian Privacy Principles apply, we take reasonable steps in the circumstances before disclosing personal information overseas and remain responsible for the handling required by applicable Australian privacy law. By using an overseas provider, information may become subject to the laws of the country in which it is processed.

These steps may include access controls, secure website connections, hosting and backup controls, security monitoring and anti-spam protection. No internet transmission or storage system can be guaranteed to be completely secure.

If we suspect a data breach, we will assess and respond to it. Where a breach is an eligible data breach under the Notifiable Data Breaches scheme, we will notify affected individuals and the Office of the Australian Information Commissioner as required.

10. How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes described in this policy, including responding to enquiries, maintaining business and accounting records, resolving disputes, protecting the website and meeting legal or insurance requirements. The period depends on the type of information and the circumstances. Website and email backups may retain information for a limited additional period. When information is no longer required and no legal or legitimate business reason requires retention, we take reasonable steps to delete it or de-identify it.

11. Access and correction

You may ask us for access to personal information we hold about you, or ask us to correct information that is inaccurate, incomplete, out of date or misleading. Contact us using the details below. We aim to respond within a reasonable period, generally within 30 days. We may need to confirm your identity and clarify the request. Some legal exceptions may apply, and we will explain any refusal where the law requires us to do so.

12. Privacy complaints

If you are concerned about how we have handled your personal information, please contact us in writing at lunar@lunarlighting.com and describe the issue and the outcome you seek. We will acknowledge and investigate the complaint and aim to respond within 30 days.

13. Direct marketing

If we send you direct marketing, we will do so in accordance with applicable privacy and electronic-marketing laws. You may opt out free of charge by using an unsubscribe method provided in the message or by emailing lunar@lunarlighting.com with “unsubscribe”. We will process an opt-out request within a reasonable period.
